Job Description

Main responsibilities

  • Provide administrative support to other departments (mailings, folding and sending monthly invoices, filing customer files, prepare power presentations, create Excel overview for report purposes)
  • Answer incoming telephone calls on the main phone number and routes calls to the appropriate individuals
  • Collecting and sorting of incoming mail, receiving and sending packages (TNT and FedEx)
  • Manage the reception desk; welcome and take care of visitors/guests
  • Coordinate meetings and lunch arrangements
  • Coordinate complex and detailed travel arrangements for staff. Schedule travel, reserve hotel rooms, prepares itineraries, creates reports on travel expenses and resolves scheduling problems. Coordinate and aligns with office managers of (other) country (sales) offices.
  • Partners with Human Resources to provide required local support as necessary. Assist with holiday, time-off, sick – and absence registration
  • Verifies invoices, assigns account numbers, secures appropriate signatures, records and routes invoices to accounting; follows up on questionable invoices
  • update internal telephone list & birthday list
  • Second point of contact for office facility
  • Monitoring and ordering of office supplies, food and beverages, business cards, keeping stock room tidy
  • Taking care of social events/special occasion for HQ
  • Other ad hoc duties may be assigned


  • MBO degree with minimum of 3 years relevant experience
  • Fluent in English and Dutch
  • Good computer knowledge
  • Travel between two office locations (Amsterdam and Amstelveen)
  • Possesses a pro-active and service minded attitude
  • Representative appearance
  • Flexible attitude
  • Act on one's own initiative
  • Outgoing character, he/she likes to help others
  • Desire to work in a challenging international organization
