Job Description

Schedules cases for and maintains relationships with, the scheduling offices of our client surgeons and hospitals.

* Handle incoming calls on the scheduling line, email requests coming into the scheduling mailbox and faxed requests coming into the Scheduling fax, taking detailed information from those requests required for scheduling our services following the scheduling form to collect all required details
* Accurately enters cases where IONM coverage is requested into the scheduler application
* Handle shifts managing the scheduling email inbox and the scheduling fax, entering or making designated changes to those cases as the emails and faxes dictate
* Follows Scheduling Procedures and check offs (see Impulse Monitoring Scheduling and Customer Service Policy and Procedure.doc) responsible for, neurophysiologist notifications of next day and emergent cases, confirmation of all next day cases and making sure regularly scheduled ‘check-in’ calls are made with special clients
* Develops and maintains relationships with our surgeon and hospital schedulers, customizing case scheduling routines to their needs and wants
* Makes sure any client issues are addressed to the clients satisfaction and that those issues are documented
* Coordinates with after-hours answering service on call schedule, regional configurations and dispatch policy

We are looking for a professional and personable individual to handle the scheduling of intraoperative nueromonitoring for surgical cases. Scheduling requests are taken via phone, email and fax. This person will fulfill scheduling requests from their home office and provide assistance to our billing department by gathering ICD10 coding and insurance coverage information for our patients. Strong communication and customer service skills are very important as this person will be speaking constantly with our hospital and surgeon clients. Attention to detail is also a must; this person will be obtaining clinical information required for patient care and entering that information in our scheduling system. Familiarity with medical terminology and/or experience in the medical field is a plus. Candidates must have a quiet home office and a broadband internet connection.

Basic Qualifications

Basic Qualifications:

  • Two to five years progressively responsible office experience, including a minimum of six months previous data entry responsibilities.
  • Work requires the demonstrated ability to read and write well enough to proof business correspondence for typographical errors and spelling as typically acquired through the completion of a high school diploma plus two years of college or business school or equivalent.
  • Excellent verbal and written communication skills required in order to communicate effectively with sales and technical support staff, and with customers.
  • Typing and proofing requires the demonstrated ability to read and concentrate for up to fifty percent of work time.
  • Ability to move about for up to fifteen percent of work time in order to file information, photocopy materials, and so forth.
  • Analytical skills and systematic work habits necessary in order to perform clerical and typing tasks.
  • Demonstrated ability to coach, communicate and work effectively with others in order to clarify decisions for data entry.
  • Demonstrated ability to be versatile, to be flexible and to plan when performing work and meeting deadlines.

Working Conditions

  • Typical office environment where there is little physical discomfort due to such causes as temperature, dust, or noise.
  • Typing and proofing requires the demonstrated ability to read and concentrate for up to fifty percent of work time.
  • Includes moving about for up to fifteen percent of work time in order to file information, photocopy materials, and so forth.
