Job Description

As an integral part of NuVasive’s Global Implant Systems team, our Senior Administrative Assistant manages all aspects of the Vice Presidents’ complex calendars, exercising discretion to prioritize and balance incoming meeting requests, outgoing meeting requests, and time for individual productivity. You’ll report directly to the Leader of Global Development within our Global Implant Systems team, with a dotted line to the Leaders of Global Marketing to provide support to executive leaders.

Essential Responsibilities:

  • Coordinates the daily schedules of three Vice Presidents and works with each to establish meeting priorities.
  • Coordinates, schedules and assists in the execution of meetings both within this department and peripheral teams where this department is leading.
  • Books appropriate conference rooms based on meeting size and AV needs.
  • Brings conflicts or challenges to leadership’s attention early to allow for adjustments as needed.
  • Prepares materials for executives including proofreading presentations, printing and copying materials needed for meetings and similar administrative support as needed.
  • Coordinates frequent domestic travel arrangements and international travel arrangements as needed.
  • Maintain high level of data sensitivity and be responsible for protecting employee data privacy at all times. Strict adherence to confidentiality and compliance policies.

Basic Qualifications
  • High School Diploma 
  • 3+ years’ experience as an administrative professional
  • High proficiency with the entire MS Office Suite 
  • Proven organizational and time management skills
  • Excellent interpersonal, verbal and written communication skills
  • Acts with a sense of urgency and understands need for responsiveness on occasion after standard business hours
Preferred Qualifications
  • BA/BS degree in a relevant field is preferred.
  • Experience with Concur, or other travel and expense management systems
